Job Overview:
Our Rheumatology clinic is seeking an organized and proactive Site Coordinator to oversee the day-to-day operations. This dual-focus role balances clinical operations management with administrative responsibilities, serving as the central point of contact between providers, clinical staff, and the Kassouf Healthcare Solutions management team. Responsibilities:
Clinical Operations:
- Oversee daily clinic workflow to ensure efficient patient throughput and high-quality care delivery.
- Supervise and support clinical staff, including Medical Assistants and front office personnel.
- Serve as a liaison between providers and staff to identify and resolve operational challenges in real time.
- Monitor compliance with infection control protocols, OSHA standards, and clinical policies and procedures.
- Assist with onboarding and training of new clinical staff, ensuring alignment with practice standards.
Administrative & Scheduling:
- Manage staff scheduling to ensure adequate coverage across all clinic hours.
- Oversee patient scheduling workflows, ensuring appointment templates are optimized for provider productivity.
- Support the prior authorization process for specialty medications in coordination with clinical staff.
- Maintain accurate records, incident reports, and operational documentation in compliance with healthcare regulations.
- Serve as the primary point of contact for facility-related needs, vendor communications, and supply management.
- Identify opportunities to improve clinic efficiency, patient satisfaction, and staff engagement.
- Act as the on-site point of contact during provider absences or escalated patient situations.
Skills & Qualifications:
- High school diploma or equivalent required; associate's or bachelor's degree in Healthcare Administration, Business, or a related field preferred.
- Minimum of 2–3 years of experience in a healthcare setting, with at least 1 year in a supervisory or lead role.
- Experience in a specialty practice preferred; rheumatology or internal medicine background a plus.
- Proficiency with EHR systems and scheduling platforms; experience with practice management software preferred.
- Strong working knowledge of medical office operations, including scheduling, prior authorizations, and basic revenue cycle concepts.
- Excellent interpersonal and leadership skills with the ability to motivate and manage a diverse clinical team.
- Highly organized with strong problem-solving skills and the ability to manage competing priorities.
- Professional communication skills for interaction with patients, providers, and corporate partners.
