INVOICING & RECEIVABLES
Send invoices, follow up on outstanding balances, and process incoming payments
Own the full cycle from job completed to dollar collected
Verify that estimates and invoices are entered accurately before they go out
TIMESHEET & PAYROLL OVERSIGHT
Reconcile crew hours against payroll (GUSTO) and flag discrepancies
Catch data-entry errors and time entries that don't add up
Ask questions when looks off- and get the answer
EXPENSE &RECEIPT MANAGMENT
Capture, organize, and track receipts and materials spend
Maintain records in a clean, searchable digital system
SCHEDULING &DISPATCH
Manage and coordinate the crew schedule across cleaning, maintenance, and lawn care
Adjust and re-route as jobs and priorities shift throughout the day
PHONE & CUSTOMER INTAKE
Answer incoming calls and be the reliable voice of the company
Schedule quotes and estimates so no lead falls through the cracks
OFFICE & BACK-OFFICE OPERATIONS
Keep vehicle and trailer registrations, insurance, and business licensing current
Ensure recurring bills (utilities, insurance) are paid on time
Support hiring by posting positions and helping coordinate interviews
Serve as the general operational backstop for the office
Company Description Keluna Home Services is a growing Montgomery-based home services company providing cleaning, maintenance, and lawn care across the River Region. We're hiring an Office Manager to own the business side of our office - invoicing, collections, expenses, scheduling, and the day-today operations that keep a service company running.
This is not a receptionist or clerical role. You will own the money-in / money-out cycle. You'll be the person who gets billed, receipt gets tracked, and every time sheet adds up. if a number doesn't look right, we expect you to say so - and we'll back you when you do. We're looking for someone genuinely good with numbers, deeply organized, and comfortable holding people accountable. If you take pride in catching what everyone else missed, you'll do well here
