PART-TIME Office Assistant

Description We are looking for a skilled Office Assistant to join our team in Birmingham, Alabama, on a contract basis. In this role, you will oversee office operations, coordinate administrative tasks, and ensure efficient workflow to support business objectives. This position requires a proactive individual with excellent organizational and communication skills. Responsibilities: - Manage scheduling and customer service interactions with participants to ensure smooth daily operations. - Coordinate travel arrangements as needed and assist with new business lead generation. - Take detailed notes during Monday meetings and act as a liaison for building-related matters, including office supply orders. - Handle IT-related tasks for the office and provide support with filing and sponsor interaction. - Process payroll and 401(k) contributions bi-monthly while maintaining accurate records. - Organize employee meetings and assist with enrollment presentations. - Create and distribute monthly newsletters to clients. - Collaborate on quarterly presentations, including compliance and website updates. - Assist with yearly tasks such as enrollment video creation, compliance audits, and cash balance plan contributions. - Maintain general office organization and support company-wide initiatives. Requirements - Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, and Adobe. - Experience with video tools such as Camtasia and Vimeo. - Knowledge of CRM systems and accounting functions, including accounts payable and receivable. - Strong skills in QuickBooks and general bookkeeping. - Ability to manage inbound calls and provide excellent customer service. - Familiarity with creating presentations and newsletters. - Excellent organizational skills and attention to detail. - Demonstrated ability to multitask and adapt to changing priorities.
