Job Description Title:
Office Receptionist
Non-Exempt Employee
Part-Time – 18 work hours a week
Hours Worked: 7:30 am to 5:00 pm
Monday and Tuesday or Wednesday and Thursday
Reports to: Tammy Harvell, Executive Director
This position is responsible for performing duties to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards. Responsibilities may include direct visitors to the appropriate person and office; assisting the residents if needed and executing all administrative tasks to the highest quality standards.
TYPICAL CLASS ESSENTIAL DUTIES:
1. Greet and welcome guests as soon as they arrive at the office.
2.Direct visitors to the appropriate person and office.
3.Communicates regularly with clients, and the public in person and by phone.
4. Ensure the reception area is tidy and presentable, with all necessary stationery and material.
5. Performs standard support tasks, including not limited to: collecting and updating tenant information for annual re-examinations and / or interims; all completed documents scanned into housing software; and performing related tasks.
6. Assist in the orientation of applicants in briefing sessions on procedures.
7. Provides assistance to applicants, staff, and others, including: explaining program eligibility requirements to tenants; assisting individuals in resolving leases issues; assisting tenants and applicants in interpreting and/or providing information related to program rules and regulations.
8. Update Executive Director regarding activities and tasks on a weekly basis to be able to meet HUD required deadlines.
9. Receive, sort and distribute daily mail/deliveries.
10. Send an advertisement to newspaper when to announce opening of waiting list for RAD PBV and Housing Choice Vouchers when needed. Prepare notices for the office of waiting list opening for RAD PBV and Housing Choice Vouchers.
11. Order front office supplies and keep inventory of stock
12. Perform other clerical receptionist duties such as filing, photocopying, and scanning.
13. Performs other duties of a similar nature or request from supervisor when necessary.
14. Create quarterly Newsletter to LHA Development, LLC residents.
TRAINING AND EXPERIENCE
1-3 years of related experience in the housing environment; or, an equivalent combination of education
and experience sufficient to successfully perform the essential duties of the job such as those listed above.
LICENSING and CERTIFIRCATION REQUIREMENTS
Valid Driver’s ID
High School or GED Graduate
KNOWLEDGE :
Knowledge of:
• Customer service principles;
• Housing programs;
• Standard mathematical concepts;
• Methods of preparing correspondence;
• Lease and contract requirements;
• Research Methods;
• Federal, state, and local laws, rules, and regulations;
• Computers and related software. Microsoft Office highly recommended
Independent Judgment/Decision Making/Problem Solving/Attitude/Team Player:
Performs tasks and duties under general supervision, using established procedures and some innovation. Chooses from limited alternatives to resolve problems. Occasional independent judgment is required to complete work assignments. Often makes recommendations to work procedures, policies, and practices. Refers unusual problems to supervisor. Positive ‘Can-Do’ attitude, willing to get the job done and well done by deadlines. To be courteous and friendly to their coworkers, managers and customers. Always a team player with a positive attitude.
