JOB OVERVIEW
MartinFed has an opening for a Project Analyst to join our team of talented and diverse individuals. The Project Analyst will provide critical analytical, scheduling, and documentation support to IT projects and programs. This role involves performing data analysis, preparing reports, maintaining documentation, and assisting in project planning and risk management to ensure timely and successful delivery of IT solutions. The analyst will collaborate with internal stakeholders, project managers, and technical teams to support project execution, track progress, manage budgets, and maintain compliance with cost control and inventory requirements. The ideal candidate is detail-oriented, adaptable to changing priorities, and proficient with project management and data visualization tools.
ESSENTIAL FUNCTIONS:
- Data Analysis & Reporting: Perform analysis on information from multiple sources to create accurate documents, reports, summaries, and responses to inquiries. Collect data and generate reports in response to client requests.
- Project Support: Assist in the design, development, and maintenance of project schedules, ensuring alignment with deployment plans and IT solution objectives. Organize, implement, and maintain scheduling management systems for identified projects.
- Budget Management: Create, maintain, and customize project budget documents, including proformas and Bills of Materials (BOMs), ensuring compliance with cost control guidelines.
- Documentation Management: Maintain, digitize, and automate project documentation such as project plans, budgets, procurement records, notes, and close-out reports. Manage updates to project websites, graphical elements, and internal applications.
- Procurement Tracking: Enter procurement requests into management systems, track purchases, and coordinate deliveries in compliance with inventory policies.
- Project Planning & Risk Management: Support the creation, maintenance, and automation of project plans and timelines. Assist in risk assessments, maintain risk registers, and help develop mitigation strategies.
- Progress Monitoring: Track progress against milestones and deliverables, providing regular status updates and reports through automation tools and dashboards.
- Quality Assurance: Conduct reviews to ensure deliverables meet quality standards and project requirements.
- Team & Stakeholder Support: Coordinate meetings, track action items, and facilitate communication among project teams, stakeholders, and leadership. Support change management efforts and participate in post-project lessons learned activities.
- Tool Proficiency: Utilize project management and data tools such as Microsoft Project, JIRA, Power BI, Excel, Power Apps, and visualization software to manage and present project data effectively.
QUALIFICATIONS:
- US Citizen with a Top Secret Clearance w/ SCI Elgibility.
- Ability to work in and foster a fast-paced collaborative work environment.
- Excellent writing and verbal communication skills.
- Experience collaborating with dozens of different teams across a large and diverse environment.
DESIRED:
Four plus years of project support experience with the following:
- Budget Management
- Create, customize, prepare, and maintain project budget documents such as proformas (proforma financial statements) and Bills of Materials (BOMs).
- Website and Documentation Management
- Maintain and update project websites, graphical elements, scanned photos, internal applications, and other automation tools and materials.
- Manage, digitize, and automate project management documentation (e.g., project plans, high-level budgets/proformas, procurement documentation, notes, due-outs, and close-out documents) for consistency and compliance.
- Proficiency in tools like Excel, Power Apps, data visualization software (e.g., Power BI), and project management software (e.g., Microsoft Project, JIRA).
- Project Planning
- Assist in the creation, maintenance, and automation of project plans, schedules, and timelines.
- Coordinate with the Project Manager and IAPO Data Architects to gather requirements and define project objectives.
- Monitor progress meticulously to ensure thorough project reviews and adjustments to plans in response to changing requirements, timelines, and priorities.
- Risk Management
- Identify potential risks to project success and develop mitigation strategies.
- Conduct risk assessments and maintain a risk register.
- Progress Tracking
- Monitor project progress against milestones and deliverables.
- Collect and analyze data to provide regular status updates through automation to stakeholders.
- Documentation and Reporting
- Maintain, digitize, and automate project documentation, meeting minutes, action items, and decisions.
- Generate reports and presentations for stakeholders to communicate project status and outcomes.
- Quality Assurance
- Ensure project deliverables meet quality standards and align with project requirements.
- Conduct quality reviews and inspections.
- Support for Project Teams
- Schedule meetings, task/track action items, coordinate logistics, and facilitate communication among team members.
- Assist in coordinating deliveries and ensuring adherence to inventory policies and procedures.
- Problem-solve issues that arise during projects, such as resource constraints, scheduling conflicts, or unexpected changes in scope.
- Change Management
- Assist in managing changes to project scope, schedule, and budget.
- Evaluate change requests and assess their impact on the project.
- Stakeholder Communication
- Facilitate communication between project teams, stakeholders, and leadership.
- Manage expectations and address concerns as they arise.
- Build positive working relationships with team members, clients, and stakeholders.
- Lessons Learned
- Participate in project post-mortem reviews to capture lessons learned and best practices for future projects.
- Budget Management
PHYSICAL REQUIREMENTS & ENVIRONMENTAL CONDITIONS
- Inside office environment.
- Working on a computer for long periods of time.
- May involve long period of sitting at a desk.
- The work environment is fast-paced and sometimes involves extreme deadline pressures.
