Job Summary
Our client is seeking a detail-oriented Operational Administrator to support ongoing commissioning and manufacturing record management. The role involves collaborating with equipment, systems, and controlling teams to retrieve records, developing documentation packages, submitting packages for approval, and scheduling safety and quality validation activities. A key objective of this role is to ensure records are maintained accurately and in real-time throughout project life cycles. This role fulfills key business objectives for record management, safety and quality control. Individual must have high level of integrity to handle confidential information. Attention to detail is required to ensure accuracy of documentation status, signoffs, and equipment tracking. As a part of the GCS team, expect interaction with on-site Safety, Engineering, Operations & Maintenance Technician, Construction, Controls, and Systems teams.
Job Description
- Organize and categorize physical and digital files.
- Scan, upload, and index paper and digital documents into computer databases.
- Retrieve requested records; executes and tracks file movements.
- Protects company data and follows company security rules.
- Checks paperwork, digital forms, and files, updating or correcting documentation as needed.
- Compile documentation packages to support safety and quality approvals for commissioned equipment.
- Maintain physical and digital system signoffs, after validating records are stored in long-term, digital storage locations.
- Perform routine checks of file accuracy.
Skills Required
- Experience in manufacturing and construction
- Knowledge of basic office and administrative software such as MS Office
- Experience working in an office setting
- Previous clerical experience
- Experience working with file-keeping software or cloud storage a plus
- Knowledge, Skills, Abilities, Software, Tools: List MOST important requirements first. Then, list soft skills and desired (but not required), experience:
- Record management skills, indexing systems
- Proficient ability to use databases, electronic document management systems, Adobe, and Microsoft Office Suite (Word, Excel)
- Basic understanding of office equipment operation
- Fast and accurate typing capabilities for data entry
- Attention to detail
- Time management
- Clear verbal and written skills
Education/Training/Certifications
- High school graduate or equivalent
Additional Requirements
- Schedule notes: 1st shift 8A-5P; Monday - Friday
- Able to pass a pre-employment background check and drug screening
Pay rate
- $26-29 per hour, based on experience, skills, and market factors
