ADMINISTRATIVE ASSISTANT

Full-time, onsite in Irondale, AL. Open to reduced hours.

HOW YOU WILL IMPACT THE BIG PICTURE:

The Administrative Assistant plays a valuable role in supporting EWTN's mission by providing administrative assistance to the HR team, helping to deliver effective programs and services to our employees. In this capacity, you will contribute to maintaining smooth operations and fostering a welcoming presence in your interactions, thereby supporting an environment that reflects the values of our Catholic faith.

WHAT YOU WILL DO:

  • Serve as the first point of contact for employees, providing guidance on HR policies and directing questions with professionalism.
  • Welcome employees, visitors, and guests with warmth, reflecting the values of EWTN.
  • Coordinate meetings, calendars, and schedules using Outlook and Microsoft Teams.
  • Support onboarding: collect paperwork, prepare files, and make new employees feel valued from day one.
  • Maintain accurate, confidential HR records, including personnel files, I-9s, and benefits documentation.
  • Generate and monitor HR reports from Paylocity (HRIS).
  • Help plan and execute employee engagement events and recognition programs.
  • Assist with HR-related financial processes and collaborate with Accounting for timely processing.
  • Provide administrative support to the VP of Human Resources and the HR team.
  • Oversee office operations, including supplies, equipment, and document management.
  • Proactively suggest improvements to HR processes and services.
  • Take on additional projects to support EWTN's mission and team.

ABOUT YOU:

  • 2-3 years of administrative experience (calendar management, travel arrangements, scheduling); HR experience is a plus.
  • Associate's Degree in Business or related field.
  • Skilled in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), with experience in formatting documents, managing spreadsheets, creating forms, and coordinating Teams meetings.
  • Excellent communication skills and a collaborative mindset.
  • Friendly, approachable, and professional demeanor.
  • Strong organizational skills, attention to detail, and ability to prioritize tasks.
  • Ability to maintain confidentiality and exercise discretion.
  • Understanding of the Catholic faith and commitment to EWTN's mission.
  • Available 8:00 AM - 5:00 PM, with occasional flexibility.

PREFERRED QUALIFICATIONS:

  • Experience with HRIS systems (preferably Paylocity).
  • Practicing Catholic preferred.
