Position Summary
We are looking for a detail-oriented and organized Office Administrator to support daily office operations and coordinate communication between customers, delivery teams, and internal staff. This role is essential to maintaining efficient workflow, accurate scheduling, and excellent customer service.
The ideal candidate thrives in a fast-paced environment, has strong communication skills, and enjoys keeping operations running smoothly.
Key Responsibilities
Inbound & Office Coordination- Contact Will Call customers to notify them of product availability
- Reschedule customer deliveries as needed (NCR)
- Organize and maintain inbound paperwork and documentation
- Assemble route paperwork including BOLs and coversheets
- Communicate assigned routes to delivery teams
- Assist with daily route coordination and planning
- Answer incoming calls and assist customers throughout the day
- Check messages and return phone calls promptly
- Contact customers regarding delivery issues or updates
- Schedule returns and assist with customer requests
- Monitor delivery timeframes and performance
- Reschedule incomplete deliveries and notify customers
- Update delivery system applications as orders change
- Complete open orders report and track pending deliveries
- Perform general administrative tasks
- Support team operations as needed
- Other duties as assigned
