Administrative Assistant

Purpose: The administrative assistant must demonstrate integrity, professionalism, and a genuine care and respect for all people. This position supports the mission and values of the church by providing administrative and organizational support to church leadership and members. The individual will be accountable to church leadership for carrying out the duties of the administrative assistant with excellence and discretion. They will serve as the bookkeeper and manage the office. The administrative assistant must be discreet, tactful, and capable of honoring confidential communications.

Must show a general knowledge of office equipment and a willingness to accept further training. Must be capable of dealing with various types of personalities in a professional manner while performing general office work under the supervision of the Senior Pastor and able to show cooperation with other staff members.

Supervision: The administrative assistant will be under the supervision of the Senior Pastor and the Personnel Committee, who will perform, at a minimum, a yearly performance evaluation.

Hours: Monday through Friday = 30 hours per week.

Responsibilities:

1. Handle all bookkeeping. Finish deposit information and enter data into QuickBooks. Prepare, post, and print checks for payroll, bills, and weekly invoices. Manage and reconcile credit cards, receipts, and reimbursement requests. Mark and file paid invoices, mail checks, and place payroll checks of staff for pickup. Responsible for accurate church financial records and disbursement of church funds in cooperation with the church treasurer.

2. Place contribution information from offerings received on proper forms for tax information, identify designated contributions, and post in appropriate places in QuickBooks or other forms as needed. File contribution envelopes.

3. Daily check of the mail, church email, voicemail, and answering machine. Answer the phone and route calls or messages to the Senior Pastor or appropriate staff per their direction and return a response as necessary.

4. Perform general office work, maintain supplies and various files, keep records, and compile data into periodic reports with attention to accuracy and detail.

5. Collect and place in proper location any attendance records for Sunday School and worship services, and work in coordination with the church clerk concerning association records and reports.

6. Draft routine letters, correspondence, and documents as needed. File all reports, correspondence, and other documents of the church or staff as needed.

7. Check calendar for church activities, coordinate and note on church calendar all reservations and meetings being held, or any use of church buildings and facilities. Collect or confirm receipt of any donation or reservation fees for such use. Inform Senior Pastor or appropriate persons to be sure buildings are unlocked for such use.8. Send all visitors information from previous Sunday to Senior Pastor or deacons of the week as instructed by Senior Pastor.

9. Prepare any requested documents, lists, or reports for Senior Pastor, staff, and ministry teams as necessary.

10. Assist in the printing, folding, and mailing of monthly church newsletter and weekly bulletin for Sunday services.

11. Order church materials for Sunday School or other needs as requested by Senior Pastor, staff, or Sunday School director.

12. Perform other duties as assigned by the church or Senior Pastor as necessary for the timely and orderly function of the church in a Godly manner.

13. Become familiar with and adhere to the current CBC Constitution and Bylaws, and the current CBC Personnel Policies & Procedures Manual.

Requirements

1. High school diploma, some college or technical school preferred.

2.Generally Accepted Accounting Principles (GAAP) and bookkeeping procedures.

3.Strong organizational skills and attention to detail.

4.Experience with QuickBooks, Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive, Docs), and Canva.

5. This is an in office position.
