Position Overview

We are seeking a Project Administrative Assistant to support our field construction operations in Mobile, AL . This role will provide critical administrative and coordination support to ensure project documentation, materials tracking, submittals, and communication are accurate and timely. Candidates should have a solid foundation in construction office procedures and be comfortable working in a fast-paced environment supporting multiple project teams.

A degree in Accounting is preferred, and experience with MS Project and Procore is a plus.

Key Responsibilities

Project Administration Support

• Support superintendents and project managers with administrative tasks across active construction projects
• Prepare and track project documents, RFIs, submittals, and transmittals
• Manage material delivery schedules and verify packing slips and invoices
• Maintain and update project binders, files, and logs (both physical and digital)
• Coordinate document control and versioning through platforms like Procore or SharePoint
• Assist with tracking certified payroll and subcontractor compliance documentation
• Compile data for weekly/monthly project reports

Office Coordination Duties

• Maintain project calendars, meeting schedules, and documentation deadlines
• Interface with vendors, subcontractors, and DOT stakeholders to obtain documentation or follow up on deliverables
• Provide administrative support for jobsite mobilization and closeout activities
• Help manage equipment rental logs and inventory tracking for project needs

Qualifications

• Experience supporting construction or infrastructure projects in an administrative capacity
• Proficient with Microsoft Office Suite (Excel, Word, Teams, Outlook)
• Experience using Procore , MS Project , or similar construction platforms preferred
• Strong organizational skills and attention to detail
• Excellent written and verbal communication skills
• Ability to work independently and prioritize multiple tasks
• Associate degree or higher preferred (Accounting or Business-related field is a plus)

Schedule & Compensation

• Monday to Friday | 8-Hour Shift
• Hourly Pay: $20.00 – $27.00 per hour (based on experience)
