Position Summary:
The Administrative Specialist I provides comprehensive administrative support to program leadership and Program Management Office (PMO) staff, ensuring smooth day-to-day operations.
Position Responsibilities:
- Provide general administrative support to the Program Manager, Deputy Program Manager, and PMO staff.
- Manage calendars, schedule meetings, prepare agendas, and track action items to ensure timely follow-up.
- Coordinate onboarding logistics including orientation scheduling, welcome packets, and start-day coordination.
- Maintain program distribution lists, organizational charts, and contact rosters.
- Prepare correspondence, memos, and routine reports as directed by program leadership.
- Serve as the primary intake point for administrative requests submitted to the PMO.
- Track required documentation and ensure timely submission to relevant stakeholders.
- Support general office operations and provide backup administrative coverage as needed.
Required Skills and Experience:
- High school diploma or GED required; Associate's or Bachelor's degree preferred.
- Minimum of 2 years of administrative support experience, preferably in a federal contractor or professional services environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, SharePoint).
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
Desired Skills and Experience (if applicable):
- Experience supporting PMOs or other federal contract programs.
- Familiarity with onboarding processes and HRIS systems.
- Experience with SharePoint, Microsoft Teams, or similar collaboration platforms.

- Public Trust (may be required based on contract requirements).
