Job Description
We are seeking a detail-oriented Accounts Payable Assistant to support the City’s Financial Administration Department. This role is responsible for processing payments, maintaining vendor records, assisting with purchasing functions, and ensuring compliance with City policies, state regulations, and accounting standards. The ideal candidate is organized, analytical, and able to manage multiple financial tasks with accuracy and efficiency.
Responsibilities:
- Process and verify vendor invoices, purchase orders, and payment requests to ensure accuracy, proper approvals, and correct account coding
- Monitor departmental expenditures to ensure funds availability and proper account allocation
- Maintain vendor files, establish new vendor accounts, and respond to vendor inquiries regarding payments
- Assist with purchasing activities, including purchase order processing and bid administration support
- Support financial system maintenance (Munis), journal entries, daily deposits, and financial reporting
- Ensure compliance with state laws, regulations, IRS standards, and City policies related to accounting and purchasing transactions
- Verify appropriate usage of City credit cards and business travel reimbursements
- Create specialized reports associated with assigned funds as directed
- Reconcile monthly vendor statements and maintain organized vendor files
- Review pending purchase orders to ensure encumbrances are cleared and payments processed accurately
Qualifications and Requirements:
- High school diploma required; Associate’s degree in Accounting, Finance, or related field preferred
- Experience in accounts payable, bookkeeping, or governmental accounting preferred
- Proficiency in Microsoft Office (especially Excel); experience with Munis or similar financial systems preferred
- Strong attention to detail and organizational skills
- Ability to maintain confidentiality and meet deadlines
- Excellent communication and customer service skills

The base pay range for this position is $34,756, excluding benefits, bonuses, or other compensation. Your final compensation will depend on your skills, qualifications, experience, location, and internal pay equity. Please note, hiring at the top of the range is uncommon to allow room for future growth.
