Job Title: Warehouse Administrator / Warehouse Administrative Assistant
Job Summary
The Warehouse Administrator provides administrative and clerical support to ensure the smooth and efficient operation of the warehouse. This role involves handling documentation, coordinating with warehouse staff and management, maintaining accurate records, and supporting inventory, shipping, and receiving activities.
Key Responsibilities
Prepare, process, and maintain warehouse documentation (purchase orders, delivery notes, invoices, shipping documents)
Enter and update data in warehouse management systems and spreadsheets
Coordinate with warehouse supervisors, drivers, suppliers, and customers
Schedule deliveries, pickups, and staff rosters as required
Monitor inventory records and report discrepancies
Handle filing, scanning, and organization of physical and digital records
Assist with health and safety documentation and compliance records
Respond to emails, phone calls, and general administrative inquiries
Support audits, stock takes, and reporting activities
Maintain office supplies and administrative resources
Skills and Qualifications
High school diploma or equivalent (additional administrative or logistics training is an advantage)
Previous experience in an administrative role, preferably in a warehouse or logistics environment
Strong data entry and organizational skills
Proficiency in Microsoft Office (Excel, Word, Outlook)
Familiarity with warehouse management systems (WMS) is a plus
Good communication and teamwork skills
Ability to multitask and work in a fast-paced environment
Attention to detail and accuracy
