Position Summary
We are seeking a detail-oriented, compassionate, and tech-savvy Medical Office Administrative Assistant to join our team in a hybrid role. This position offers the opportunity to work partially from home while supporting essential clinical and administrative functions onsite.
This role is ideal for someone who enjoys both independent remote work and collaborative in-office patient care , and who thrives in a meaningful, mission-driven healthcare setting.
Key Responsibilities
Front Office & Patient Coordination (In-Office & Remote)
Schedule new and follow-up appointments via phone, email, and patient portals
Check in patients and verify insurance or payment information
Process payments and assist with billing follow-up
Maintain patient confidentiality and HIPAA compliance
Provide outstanding customer service in a recovery-sensitive environment
Administrative Support (Hybrid)
Assist with light payroll and bookkeeping duties, to include staff time tracking
Manage basic data entry, document organization, and internal communications
Support supply ordering and vendor coordination
Communicate effectively with clinical staff to support daily workflow
Clinical Support & Cross-Training (In-Office)
Assist with urine drug screen collection and urine pregnancy tests following proper chain-of-custody procedures (training provided)
Maintain clean, organized clinical and testing areas
Support patient follow-up tracking and care coordination as needed
Qualifications
Required:
Previous experience in a medical office, behavioral health, or wellness setting
Strong organizational and multitasking skills
Comfort with technology and remote communication tools
High level of professionalism and sensitivity to confidential information
Ability to work independently and as part of a team
Willingness to cross-train in basic clinical tasks
Preferred:
Experience with electronic medical records (EMR/EHR) systems
Familiarity with addiction medicine or wellness-based care
Background in customer service, patient navigation, or admin support
bookkeeping experience
CPR certification or willingness to obtain
