Job Summary
The Expeditor is responsible for strategic post–purchase order management, supplier follow-up, and expediting activities to ensure on-time delivery of materials, equipment, and documentation in accordance with purchase order requirements. This role focuses on supplier performance monitoring, delay analysis, reporting, and coordination with internal and external stakeholders to mitigate risks, support claims management, and improve delivery performance.
Job Description
- Comply with Project Order Management and Expediting procedures based on supplier type, critical parts, and critical suppliers.
- Identify critical equipment based on delivery schedules and project requirements.
- Monitor and support supplier kick-off meetings.
- Participate in pre-inspection meetings for critical equipment, when required.
- Track and monitor purchase order delivery dates through regular communication with suppliers (email, phone, visits).
- Identify and report any nonconformity related to delivery timelines or purchase order requirements and raise alerts to project and planning teams.
- Conduct expediting visits to supplier facilities, including reinforced expediting for underperforming suppliers.
- Prepare and issue expediting visit reports and meeting minutes.
- Proactively monitor supplier activities across all phases, including design development, material procurement, manufacturing, testing, and shipping preparation.
- Review vendor progress reports and fabrication schedules; identify deviations and escalate issues as necessary.
- Interface with suppliers, engineering, inspection, and document control teams to resolve technical queries or documentation delays (e.g., VDDR).
- Follow up on open points and punch lists in coordination with multiple disciplines.
- Manage and coordinate third-party inspection or expediting agencies.
- Identify potential risks or delays and initiate corrective actions, including recovery plans from suppliers.
- Maintain and update tracking data in dashboards, manual tracking tools, or ERP systems (e.g., SAP), per project requirements.
- Compile and issue monthly expediting and performance reports.
- Maintain a claim dossier for each purchase order, including schedules, progress, deficiencies, and supporting documentation.
- Support claims negotiation activities in collaboration with claims and procurement teams.
- Ensure appropriate commercial and contractual notifications are issued in coordination with buyers.
- Provide input for post-order supplier performance evaluations.
- Ensure documented order closeout, including resolution of shipping/receiving discrepancies, invoice discrepancies, and cost recovery related to supplier deficiencies.
Skills Required
- 2–3 years of relevant experience in a manufacturing environment
- Experience working with machining, castings, and raw material suppliers preferred
- Entrepreneurial Thinking

- Proficiency in Microsoft Excel, Word, PowerPoint, and G Suite
- Experience using ERP systems, preferably SAP
- Excellent written and verbal communication skills

Education
- Bachelor’s Degree in Business, Purchasing, Supply Chain, or Engineering
- A minimum of 5 years of relevant experience in buying, expediting, post-order management, or supply chain functions
Additional Requirements
- Sh ift: 8AM to 5PM PST
- Work environment includes both office and workshop settings
- Not a safety-sensitive position
- Required PPE: safety shoes and goggles (provided)
- No work at heights required
- No driving required
- Occasional lifting of 5–10 pounds
