Rental & Leasing Coordinator

A well-established heavy truck and equipment company is seeking an experienced and professional Rental & Leasing Coordinator to join their team. This is an excellent opportunity for someone with prior experience in the heavy equipment, trucking, construction equipment, or industrial rental industry who thrives in a fast-paced, customer-focused environment.

The ideal candidate will have strong administrative and customer service skills, experience handling contracts and rental agreements, and the ability to communicate effectively with customers, drivers, vendors, and internal departments.

• Coordinate daily rental and leasing activities for heavy trucks and equipment
• Prepare, process, and maintain rental contracts, lease agreements, and related documentation
• Assist customers with equipment availability, pricing, scheduling, and general inquiries
• Communicate with service, transportation, and operations departments to ensure timely equipment delivery and return
• Maintain accurate customer files, rental records, and billing information
• Monitor contract terms, renewals, insurance requirements, and equipment statuses
• Provide exceptional customer service while building strong client relationships
• Assist with invoicing, reporting, and general administrative support
• Handle incoming calls, emails, and walk-in customers professionally
• Support overall office operations as needed
  

Requirements

• Previous experience working in the heavy equipment, trucking, construction equipment, industrial rental, or related industry required
• Prior experience with rental coordination, leasing, dispatching, contracts, or equipment administration strongly preferred
• Strong customer service and communication skills
• Excellent organizational and multitasking abilities
• Proficient computer skills including Microsoft Office and data entry
• Ability to work efficiently in a fast-paced environment
• Professional demeanor and attention to detail
