Position Overview:
We are seeking an experienced Office Manager / Accounting Specialist to support our financial and administrative operations. This role is part-time, requiring 25 to 30 hours per week, across 3 to 4 days , and must be performed onsite — no remote work permitted .
The ideal candidate is dependable, self-motivated, and has strong proficiency in QuickBooks Desktop and ADP Payroll , along with a solid foundation in accounting and office management.
Primary Responsibilities and Duties:
General Overview:
- Maintain smooth day-to-day office operations
- Assist in organizing financial workflows and documentation
- Handle confidential data with the utmost integrity
Accounting Responsibilities:
- QuickBooks Desktop: Enter data and prepare general ledger entries, maintain support records, and verify accuracy
- Bank/Credit Card Reconciliations: Perform daily and monthly reconciliations for multiple accounts
- Accounts Payable: Enter vendor invoices, prepare weekly payments, and reconcile vendor accounts
- Accounts Receivable: Invoice customers, apply and record payments, and reconcile customer accounts
- Payroll: Process weekly payroll through ADP , including recording journal entries
- Sales Tax: Calculate, prepare, and remit monthly sales tax returns and payments, and post related journal entries
- Reporting & Deposits: Handle daily reports, cash handling, and prepare/complete bank deposits
- Execute additional accounting and organizational tasks as needed
Qualifications:
- Relevant experience in accounting and office management
- Must be experienced in QuickBooks Desktop and ADP Payroll
- Solid understanding of accounting principles and procedures
- Proficiency in Microsoft Excel and general computer literacy
- Strong organizational skills and attention to detail
- Ability to work independently, prioritize tasks, and meet deadlines
- High level of integrity and discretion with confidential information
Schedule & Availability:
- Part-Time: 25 to 30 hours per week
- Schedule: 3 to 4 days per week (flexible within business hours) ( MONDAYS ARE REQUIRED – Other days are flexible
- Onsite Required: This is an in-office position only — remote work is not available
