Position Overview:

We are seeking an experienced Office Manager / Accounting Specialist to support our financial and administrative operations. This role is part-time, requiring 25 to 30 hours per week, across 3 to 4 days , and must be performed onsite no remote work permitted .

The ideal candidate is dependable, self-motivated, and has strong proficiency in QuickBooks Desktop and ADP Payroll , along with a solid foundation in accounting and office management.

Primary Responsibilities and Duties:

General Overview:

  • Maintain smooth day-to-day office operations
  • Assist in organizing financial workflows and documentation
  • Handle confidential data with the utmost integrity

Accounting Responsibilities:

  • QuickBooks Desktop: Enter data and prepare general ledger entries, maintain support records, and verify accuracy
  • Bank/Credit Card Reconciliations: Perform daily and monthly reconciliations for multiple accounts
  • Accounts Payable: Enter vendor invoices, prepare weekly payments, and reconcile vendor accounts
  • Accounts Receivable: Invoice customers, apply and record payments, and reconcile customer accounts
  • Payroll: Process weekly payroll through ADP , including recording journal entries
  • Sales Tax: Calculate, prepare, and remit monthly sales tax returns and payments, and post related journal entries
  • Reporting & Deposits: Handle daily reports, cash handling, and prepare/complete bank deposits
  • Execute additional accounting and organizational tasks as needed

Qualifications:

  • Relevant experience in accounting and office management
  • Must be experienced in QuickBooks Desktop and ADP Payroll
  • Solid understanding of accounting principles and procedures
  • Proficiency in Microsoft Excel and general computer literacy
  • Strong organizational skills and attention to detail
  • Ability to work independently, prioritize tasks, and meet deadlines
  • High level of integrity and discretion with confidential information

Schedule & Availability:

  • Part-Time: 25 to 30 hours per week
  • Schedule: 3 to 4 days per week (flexible within business hours) ( MONDAYS ARE REQUIRED – Other days are flexible
  • Onsite Required: This is an in-office position only remote work is not available
