: Position Title: Maintenance Procurement Administrator Location: Sylacauga, AL Reports To: Maintenance Manager Posting Date: 6/2/25 Posting Expiration Date: 6/13/25 Position Summary: Heritage Plastics seeks a Maintenance Procurement Administrator, a key support role within the maintenance department, responsible for ensuring smooth and efficient operations through a wide range of administrative and coordination tasks. This position manages procurement processes, coordinates with vendors, and oversees scheduling for external services. The MPA also maintains accurate records, ensures compliance documentation is up to date, and supports safety program administration. Additionally, this role provides backup support to other administrative staff and facilitates effective communication between vendors and internal stakeholders to promote seamless maintenance operations. Key Responsibilities:
  • Research, locate, order, receive, tag, and distribute all parts and supplies (excluding housekeeping).
  • Maintain strong vendor relationships to ensure timely and cost-effective procurement.
  • Handle CapEx purchases: research, create purchase orders, and process orders for capital expenditures.
  • Set up and coordinate freight shipments for large equipment repair.
  • Receive, sort, and enter invoices for payment.
  • Reconcile end-of-month vendor statements with received invoices.
  • Collect and submit vendor setup documentation to accounting.
  • Maintain ISO-related documentation including PM records, inspection logs, and supporting materials for auditing.
  • Store and manage MSLOs (Maintenance Safe Lockouts) for technician access and file completed documents.
  • Schedule and coordinate outside vendor services (e.g., rail scale calibrations, forklift maintenance, track inspections/repairs, transformer oil sampling, dock and door inspections).
  • Print and file preventive maintenance (PM) schedules and records.
  • Collect, input, and maintain daily, weekly, and monthly maintenance check spreadsheets.
  • Maintain manuals, part lists, drawings, and documentation for new equipment.

Required Qualifications:

  • High school diploma or equivalent required; associate degree preferred.
  • 2+ years of administrative or maintenance coordination experience preferred.
  • Strong knowledge of procurement and vendor management practices.
  • Excellent organizational and time-management skills.
  • Proficiency in Microsoft Office (Excel, Word) and familiarity with maintenance software.
  • Attention to detail and strong data entry skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
