The Church Administrative Assistant is to provide comprehensive administrative support to the Lead Pastor, and the staff, and play a crucial role in managing the smooth operation of the church and church office, managing key administrative tasks, and facilitating effective communication both internally and externally. This position requires exceptional organizational and interpersonal skills, as well as the ability to handle sensitive information with the upmost confidentiality. Office hours are Monday through Thursday 7:30am to 5:00pm and Friday 8am to noon. Two to three years administrative experience is required as well as proficiency in Microsoft Office Suite products. In depth data base entry and membership management experience preferred. The ability to be accurate, detailed, and multi-task are necessary. Some understanding of the Baptist Church is a plus.
Principal Administrative Assistant Responsibilities
- Maintain the church office, ensuring it is organized, welcoming and efficient.
- Answer and screen phone calls, emails, and inquiries, providing information and assistance as needed.
- Daft, edit, and proofread various documents, including letters, reports, announcements and worship bulletins.
- Manage church database, maintain and update church records.
- Schedule appointments, meetings, and events for church staff and leadership.
- Communicate to the church body - emails, letters, notifications, etc.
- Attend staff meetings
- File and protect church records, paperwork, etc.
- Check and distribute mail daily, make copies, printing, and running errands as needed.
- Willing to perform other duties as requested.
