About the Role:

The Medical Coordinator - Outpatient plays a critical role in ensuring the smooth operation and coordination of outpatient medical services within a healthcare facility. This position is responsible for managing patient scheduling, facilitating communication between patients and healthcare providers, and overseeing the administrative aspects of outpatient care to enhance patient experience and clinical efficiency. The coordinator acts as a liaison among medical staff, patients, and external agencies to ensure compliance with healthcare regulations and organizational policies. By effectively managing resources and workflows, the Medical Coordinator helps optimize patient throughput and supports the delivery of high-quality care. Ultimately, this role contributes to improved patient outcomes and satisfaction by maintaining organized, timely, and patient-centered outpatient services.

Minimum Qualifications:

  • High school diploma or equivalent; Associate’s degree or higher in healthcare administration or related field preferred.
  • Minimum of 2 years experience in a healthcare setting, preferably in outpatient services or medical office coordination.
  • Strong knowledge of medical terminology, outpatient clinical workflows, and healthcare regulations including HIPAA.
  • Proficiency with electronic health record (EHR) systems and standard office software (e.g., Microsoft Office Suite).
  • Excellent communication, organizational, and multitasking skills.
  • CPR Certified within 30 days of hire.

Preferred Qualifications:

  • Bachelor’s degree in healthcare administration, nursing, or a related discipline.
  • Experience with specific EHR platforms.
  • Certification in medical office administration or healthcare coordination (e.g., CMA, CPC).
  • Familiarity with insurance billing processes and prior authorization procedures.
  • Demonstrated ability to lead or participate in quality improvement initiatives.
  • Certified Peer Support Specialist (CPSS) or Certified Recovery Support Specialist (CRSS)
  • Experience in Substance Abuse Treatment and/or Medication Assisted Treatment, preferred.

Responsibilities:

  • Coordinate and manage outpatient appointment scheduling to maximize provider availability and patient convenience.
  • Serve as the primary point of contact for patients regarding outpatient services, addressing inquiries and resolving issues promptly.
  • Collaborate with healthcare providers, nursing staff, and administrative teams to ensure seamless patient flow and care coordination.
  • Maintain accurate and up-to-date patient records and documentation in compliance with HIPAA and organizational standards.
  • Monitor outpatient service metrics and prepare reports to identify areas for process improvement and enhanced patient care.
  • Ensure adherence to regulatory requirements and internal policies related to outpatient medical services.
  • Facilitate communication between patients, providers, and insurance companies to support billing and authorization processes.
  • Organize and participate in team meetings to discuss operational challenges and implement solutions.
  • Performs screening and medical procedures (vital signs, urine drug screens, pregnancy tests, etc.) and injections as ordered by provider and in compliance with scope of practice limitations and state requirements / law.
  • Prepares exam and treatment rooms with necessary instruments and supplies.
  • Prepares, maintains, and sterilizes all treatment rooms, supplies and equipment for treatments.
  • Completes MAT Prior Authorizations (Pas) and paperwork as required by third party payers.
  • Ensures MAT education is reviewed with each patient eligible for MAT and ensures documentation of receiving education is in the patient’s medical record.
  • Works with specialty pharmacies to order injectable forms of MAT.
  • Arranges MAT shipments and ensures proper on-site storage of MAT injectables.
  • Destroys MAT injectables per facility policy.

The Medical Coordinator utilizes strong organizational skills daily to manage complex outpatient schedules and ensure efficient patient flow. Effective communication skills are essential for interacting with patients, healthcare providers, and insurance representatives to facilitate care coordination and resolve issues. Proficiency with electronic health record systems enables accurate documentation and retrieval of patient information, supporting clinical decision-making and compliance. Analytical skills are applied to monitor service metrics and identify opportunities for operational improvements. Additionally, knowledge of healthcare regulations and billing processes ensures that outpatient services are delivered in a compliant and financially responsible manner.
