POSITION TITLE: Bookkeeper I

The Huntsville-Madison County Public Library is a non-profit library system comprised of ten locations providing library and information services to the city of Huntsville and the surrounding Madison County area. HMCPL is seeking a Bookkeeper I to perform bookkeeping tasks in support of the daily operations of the administrative and bookkeeping offices. 

The ideal candidate will be a detail-oriented professional with experience in bookkeeping and working with financial records, including utilizing online software such as Little Green Light, QuickBooks, and various MS Office products. This individual will have a desire for a role in public service and be excited to help develop the future of HMCPL as it supports and encourages the growth of the Huntsville and Madison County area.

HOURS AND COMPENSATION: This is a full-time, 30 hour a week position with a pay rate of $24.50 an hour. Benefits offered include health insurance, dental insurance, vision insurance, life insurance, long-term and short-term disability, and MPP and 457(b) retirement plan options. General schedule is Monday through Friday. 

GENERAL STATEMENT OF DUTIES: This is administrative work as a support staff member of the Administration Department assisting with the financial operations of the library system. 

This position requires that the employee have knowledge of accounting and associated fiscal management principles, methods, and practices. This position is classified as Non-exempt for the purposes of the Fair Labor Standards Act.

SUPERVISION RECEIVED : Works under the direction of the Executive Director and other staff as assigned. 

SUPERVISION EXERCISED : None.

ESSENTIAL JOB FUNCTIONS

Teamwork & Leadership:

· Supports library employees and leadership in fulfilling the Library’s Mission Statement: “This is the public’s library. We empower individuals to create their own futures, explore the universe of ideas, and connect with our community and the world.”

· Assists Library leadership, including location and department managers, in maintaining accurate and timely records of incoming and outgoing monies from sources including gifts, fundraising efforts, endowment proceeds, local, state, and federal funding allotments.

· Advises staff on Library policy definition and application as needed.

Specialized Expertise:

· Provides on-going accounting and bookkeeping services to the Library system including but not limited to overseeing a general ledger with any subsidiary files as may be required; maintains accurate financial records for invoices, purchase orders, service and work contracts, and expenses.

· Maintains all financial records in accordance with Library policy, state and federal laws, and general accounting standards.

· Assists with budget preparation and administration; assists with annual audit.

· Monitors online credit card processing and charges for both the Library and the Library Foundation.

· Responsible for financial reporting for Huntsville-Madison County Library Foundation including monthly financial statements, budget preparation, and expense reporting.

· Oversees notary public credential requirements for designated staff members.

· Maintains adequate internal controls and confidentiality.

· Assists in ensuring Library policies and practices are compliant with local, state, and federal laws and guidelines including remaining up-to-date on changing regulations and legislation.

OTHER JOB FUNCTIONS: Participates in special projects and performs additional duties as required.

PHYSICAL DEMANDS: Requires sitting at a computer for extended periods of time. Requires standing, walking, reaching, climbing, stooping, and lifting/carrying items generally not exceeding 40 pounds. Must possess the vision required to read printed materials and a computer screen. Must possess the ability to hear and speak both in person and over the telephone. Finger dexterity is needed to access, enter, and retrieve data using a computer. Reasonable accommodations may be made to enable individuals to perform the essential functions.

WORK ENVIRONMENT: Generally involves everyday risks or discomforts which require normal safety precautions typical of office environments. May interact with upset staff and/or members of the public.

Requirements

MINIMUM QUALIFICATIONS:

KNOWLEDGE, SKILLS AND ABILITIES: Comprehensive knowledge of accounting and bookkeeping principles, methods, materials, and practices; thorough knowledge of relevant legislation and regulatory requirements; thorough knowledge of accounting and database software such as QuickBooks and MS Office: ability to analyze library needs and library services; ability to maintain a high level of confidentiality; ability to analyze and solve major problems; ability to develop data and recommendations influencing library operations and policy; complete competence in oral and written communications; ability to establish and maintain effective working relationships with superiors, subordinates, associates, corporate representatives, officials of other agencies, and the general public; proficiency with current computer and internet technology as well as knowledge of evolving developments within the Accounting field.

EXPERIENCE AND TRAINING : An Associate’s Degree in accounting, bookkeeping, or a related field from an accredited college or university plus two (2) years of bookkeeping or accounting experience, or any combination of education, training, and experience which provides a demonstrated potential for performing the above listed duties of the position is required.

Additional experience in a public library or non-profit organization capacity is desired.
