As our Maintenance Administration Coordinator, you will provide critical administrative and scheduling support to the Maintenance Department. This role ensures effective communication, accurate recordkeeping, and efficient coordination of preventative and corrective maintenance activities to keep plant operations running safely and smoothly.
QUALIFICATIONS- High school diploma or GED required; Associate degree in business administration, industrial operations, or related field preferred.
- Minimum 2 years of administrative experience, preferably in a food manufacturing or industrial environment.
- Familiarity with maintenance operations, food production equipment, or regulated plant environments strongly preferred.
- Strong organizational skills with attention to detail and accuracy.
- Proficient in Microsoft Excel, Word, Outlook and Dynamics; experience with CMMS systems preferred (KeepTrak, MaintainX, or equivalent).
- Ability to communicate clearly and work with maintenance technicians, plant staff, and vendors.
- Demonstrated ability to handle sensitive documentation and prioritize tasks independently.
ESSENTIAL JOB FUNCTIONS
- Administer the Computerized Maintenance Management System (CMMS), including opening, tracking, and closing all work orders and preventive maintenance tasks.
- Schedule and monitor routine preventive maintenance (PMs) across all blending, mixing, and
packaging equipment used in the production of chicken breading and spice blends.
- Maintain maintenance-related documents including machine manuals, SDS sheets, calibration logs, and equipment service records.
- Purchase, track and manage the inventory of critical spare parts and consumables, ensuring availability and timely reordering.
- Prepare daily, weekly, and monthly maintenance reports for plant leadership.
- Coordinate outside vendors for equipment repair, servicing and inspections (e.g., compressors, electrical systems, conveying equipment).
- Ensure documentation is aligned with food safety (SQF/HAACP), OSHA, and company-specific compliance requirements.
- Support maintenance budget tracking and expense reporting.
- Assist with maintenance staff scheduling and timekeeping in collaboration with HR and plant leadership.
- Prepare documents and support maintenance-related training, audits, and capital improvement projects.

- Schedule : Monday–Friday, 8:00 a.m.–5:00 p.m., with weekend flexibility during maintenance shutdowns and urgent maintenance events.
