Our Medical Front Desk Lead oversees daily administrative operations, supervising staff, managing patient scheduling and records, and ensuring office procedures and HIPAA compliance are followed. Key responsibilities include handling staff scheduling, resolving patient issues, assisting with billing and insurance, and maintaining a smooth patient flow.

Key responsibilities

• Hire, train, supervise, and schedule front desk staff and approve timecards.
• Oversee patient check-in, registration, and scheduling; resolve patient complaints; and ensure a welcoming and efficient waiting area.
• Manage office procedures and assist with insurance authorizations and medical billing.
• Ensure the office adheres to all HIPAA and other internal policies; supervise the creation and management of patient records.
• Address daily operational challenges, analyze inefficiencies, and implement solutions to improve office workflow.

Required skills and qualifications

• Proficiency with appointment scheduling software, multi-line phone systems, and electronic health record (EHR) systems.
• Understanding of medical terminology and healthcare insurance protocols.
• Strong communication, problem-solving, and multitasking abilities; professional demeanor, especially under pressure; and empathetic, customer-service-oriented approach.
• High school diploma or equivalent, with an associate's or bachelor's degree in healthcare administration is a plus. Prior experience in a medical front office setting is necessary.
• Ability to speak both English and Spanish is a plus.

Work environment

• Hours are Monday – Thursday 7:45 – 5:00 and Friday 7:45 – 12:00. Must be able to stay past closing if patient needs require.
