Imagine a morning where you reconcile yesterday’s bank and credit card activity, then move seamlessly into preparing AIA progress billings for active jobs. After lunch, you’re tracking cost codes, updating job-cost reports, and confirming subcontractor pay apps and lien waivers are in order. By day’s end, you’ve processed payroll (including certified payroll when required), flagged a budget overrun for a project manager, and queued clean, audit-ready financials for month-end.

What you’ll own day-to-day

• Oversee payables and receivables: manage Accounts Payable (A/P) and Accounts Receivable (A/R)
• Process vendor invoices and subcontractor payments accurately and on schedule
• Maintain precise job costing across projects and cost codes
• Prepare and submit AIA billings and progress invoices
• Reconcile bank and credit card statements
• Run payroll and ensure certified payroll compliance when applicable
• Track project budgets and proactively report cost overruns
• Collect and maintain lien waivers and subcontractor compliance documentation
• Assist with monthly financial reporting, including profit & loss statements
• Support year-end close and coordinate with the CPA
• Ensure compliance with local, state, and federal regulations

What you bring

• 2+ years of bookkeeping experience (construction experience preferred)
• Hands-on knowledge of job costing and project accounting
• Proficiency in QuickBooks (Desktop or Online) or comparable accounting platforms
• Understanding of construction contracts and billing procedures
• Exceptional attention to detail and organizational skills
• Ability to manage multiple projects and deadlines at once
• Clear, proactive communication skills

Preferred extras

• Familiarity with Sage, Buildertrend, or similar construction software
• Experience tracking retainage
• Knowledge of W-9s, 1099s, and subcontractor compliance requirements
