Job Summary

We are currently looking for a Safety Administrative Coordinator to support our locations in Medford & White City, OR. Position will provide exceptional office administration support to a fast paced construction project with high expectations. Office administration support duties may include: maintaining office systems, supplies, payroll processing, accounts payable, document management, owner billings/account receivables, office clerical/support services, printing, mail distribution, messenger services, expense reporting, greeting visitors, answering phones along with other assigned tasks.

Job Description

  • Be present at front desk to greet and guide visitors and new employees
  • Receive and route incoming packages and mail
  • Answer phones and emails in a timely and professional manner
  • Schedule conference rooms for a variety of meetings, order catering as needed
  • Update office & personnel contact information
  • Assist site management staff with numerous clerical duties
  • Operate office equipment such as photocopiers, fax machines, and scanners, as well as assist vendors with the same
  • Data entry and tracking
  • Collect/Reconcile BTA & Travel Charges; assist leadership with completing expense reports
  • Process shipping/receiving
  • Request gift card logs & entry
  • Order and stock office supplies for both office locations
  • Perform other duties as assigned by management
  • Assist in the development, review, updating, and communication of the Site-Specific Safety Plan (SSSP) to employees and subcontractors
  • Collaborate with field craft personnel daily to support safety program awareness and participation
  • Exercise Stop Work Responsibility to ensure adherence to company policies, regulations, and approved work plans
  • Assist with maintaining project files in compliance with OSHA/MSHA regulations, including accident and injury documentation
  • Assist with incident investigations and support implementation of corrective actions
  • Complete daily documented hazard inspections and assist operations, craft, and subcontractors with corrective actions
  • Review work plans, work packs, and detailed work plans prior to the start of work

 

Skills Required

  • 3+ years of Administrative experience required
  • Valid Driver’s License.
  • Supply management and inventory control experience.
  • Organizational skills.
  • Tracking budget expenses.
  • Reporting skills.
  • Attention to detail.
  • Excellent customer service skills and a positive, can-do attitude.
  • Professional phone manner.
  • Must be proficient in Microsoft Word, Excel, and Power Point.
  • Flexibility in schedule – early/late as needed.
  • Ability to juggle multiple projects/assignments.
  • Ability to work with various personalities.
  • Other software package experience that is preferred includes SharePoint, Concur, Bluebeam.

 

Education/Training/Certifications

  • High School Diploma or GED required
