Position Summary:
The Payroll Entry and Billing Specialist is responsible for accurately processing payroll, maintaining cost tracking entries, and managing customer billing for field and job-site operations. This role ensures that employee hours, job costs, and project billing are recorded and reported with precision. The ideal candidate will be organized, detail-oriented, and capable of working directly with on-site supervisors and project teams.
Payroll Duties:
- Collect, review, and enter employee timecards and job hours from job sites into the payroll system.
- Ensure payroll accuracy by reconciling hours, rates, and deductions.
- Process weekly or biweekly payroll in accordance with company policies and applicable labor laws.
- Maintain and update employee payroll files, including tax status, direct deposit, and benefits information.
- Coordinate with on-site supervisors and management to resolve payroll discrepancies.
- Generate and distribute payroll reports as required.
Billing Duties:
- Prepare, review, and issue invoices to clients based on job completion, contracts, or time-and-materials logs.
- Verify billing data, purchase orders, and work orders for accuracy.
- Track payments received and follow up on outstanding invoices.
- Reconcile billing accounts and assist with month-end close procedures.
- Collaborate with project managers and on-site supervisors to ensure billing aligns with job-site progress and project milestones.
- Enter and maintain cost tracking data for each project, ensuring accurate allocation of labor, materials, and equipment expenses.
- Monitor cost entries against budgets and job codes to support financial reporting, job costing, and profitability analysis .
General & Administrative:
- Maintain organized digital and physical records for payroll, billing, and cost tracking.
- Support accounting with financial reporting, audit preparation, and documentation.
- Assist with compliance reviews and maintain confidentiality of sensitive information.
- Identify opportunities to improve accuracy and communication between job sites and management.
Preferred Qualifications:
- Education: Associate’s degree in Accounting, Business Administration, or related field (Bachelor’s preferred).
- Experience: 2+ years in payroll processing, billing, or cost tracking—preferably in construction, contracting, or field-based industries
Skills:
- Experience with Construction Partner preferred.
- Strong Microsoft Excel and data entry skills.
- Excellent attention to detail and organizational ability.
- Effective communication with on-site personnel and management.
- Ability to maintain confidentiality and manage sensitive financial information.
Compensation & Benefits:
- Competitive pay based on experience. Range $20-$24 per hour bi-weekly.
