Admin / Accounting Assistant

Job Summary:

The Admin/Accounting Assistant provides administrative and accounting support to ensure efficient office operations and accurate financial recordkeeping. This role involves handling daily office tasks, processing financial transactions, assisting in payroll and reporting, and supporting management in maintaining compliance and organizational efficiency.

Key Responsibilities:

Administrative Duties:

• Manage office operations, supplies, and correspondence (emails, phone calls, filing, etc.)

• Maintain employee records and assist with HR-related documentation.

• Schedule meetings, prepare minutes, and coordinate travel or logistics as needed.

• Support management in preparing reports, presentations, and other documentation.

• Handle vendor and client communications professionally.

Accounting Duties:

• Record daily financial transactions in accounting software (e.g., QuickBooks, Xero, SAP).

• Process invoices, receipts, payments, and petty cash.

• Assist with accounts payable (A/P) and accounts receivable (A/R) reconciliation.

• Prepare bank reconciliations and assist in month-end closing.

• Support payroll processing and expense reporting.

• Assist in preparing financial reports and documentation for audits.

Qualifications:

• Bachelor’s degree in Accounting, Finance, Business Administration, or related field.

• 1–3 years of experience in administrative or accounting roles preferred.

• Basic understanding of accounting principles and bookkeeping procedures.

• Proficient in MS Office (Excel, Word, Outlook) and accounting software.

• Strong attention to detail, organizational, and multitasking skills.

• Excellent communication and interpersonal skills.

• Ability to maintain confidentiality and handle sensitive information.

Preferred Skills (Optional):

• Experience with cloud-based accounting systems (e.g., QuickBooks Online, Xero).

• Knowledge of payroll processing and local tax compliance.

• Ability to work independently and as part of a team.

Work Environment and Payrate :

• Office-based role with standard working hours.

• May occasionally require overtime during month-end or audit periods.
• Pay Rate $25 hr Monday- Friday 8am- 5pm
