Key Responsibilities
Facility Maintenance & Operations
- Oversee all maintenance, repairs, and inspections across Florence and Lawrenceburg facilities.
- Manage daily upkeep of HVAC, electrical, plumbing, lighting, and other building systems.
- Create and maintain preventive maintenance schedules and ensure timely completion.
- Track and respond to maintenance requests from each site through a centralized system (e.g., ClickUp or similar).
- Conduct monthly walk-throughs of each location with written reports and improvement recommendations.
- Coordinate any after-hours or emergency maintenance needs.
Grounds & Environmental Care
- Supervise the appearance and upkeep of all grounds, parking lots, signage, and exterior lighting.
- Ensure seasonal tasks (lawn care, snow/ice removal, etc.) are completed consistently at each location.
- Maintain facility cleanliness standards and support janitorial and waste management contracts.
- Monitor curb appeal and represent the organization’s professional image through property presentation.
Vendor & Contractor Management
- Source, evaluate, and manage vendors for maintenance, landscaping, cleaning, pest control, HVAC, and construction.
- Oversee contracts, bids, and invoices, ensuring cost-effectiveness and quality control.
- Develop a preferred vendor list and maintain a relationship database with response times and performance scores.
- Conduct post-service reviews to verify satisfaction and documentation.
Safety & Compliance
- Conduct regular safety and compliance inspections across all sites (OSHA, ADA, fire safety, etc.).
- Maintain documentation of fire extinguisher checks, alarm inspections, and emergency exit testing.
- Ensure all facilities meet healthcare safety standards and are prepared for inspections or audits.
- Collaborate with leadership to maintain emergency preparedness and facility security protocols.
Budgeting & Strategic Planning
- Develop and manage the annual facilities budget, including repairs, utilities, and capital improvement projects.
- Track expenses and identify cost-saving opportunities across multiple sites.
- Plan and coordinate capital improvement projects, renovations, and expansion initiatives.
- Provide recommendations for lifecycle replacements and long-term maintenance strategies.
Leadership & Communication
- Serve as the point of contact between site managers and leadership for all facility needs.
- Develop and implement systems for maintenance tracking, communication, and prioritization.
- Foster a culture of stewardship, accountability, and excellence in facility care.
- Support project planning for new builds or expansions.
Qualifications
- 3–5 years of facility or property management experience (multi-site experience strongly preferred).
- Knowledge of building systems, preventive maintenance, and facility safety standards.
- Experience managing vendors, contracts, and project budgets.
- Excellent organizational and communication skills; ability to prioritize across multiple locations.
- Strong problem-solving and mechanical aptitude; ability to perform light maintenance work when necessary.
- Valid driver’s license and reliable transportation required; regular travel between sites.
