We are looking to hire an Office Manager to join our team at Behavioral Health Reimagined. The Office Manager is responsible for oversight of the office's administrative functions and ensures the clinic is operating smoothly and efficiently. As a small, yet growing, clinic the Office Manager will report directly to the company owner. This position is perfect for someone with experience as a medical/mental health office administrative assistant that is looking to grow their career.
Responsibilities:
- Manage records and information with consideration to HIPAA and both state and federal regulations
- Provide administrative assistance to management team
- Fulfill needs of front office, including but not limited to, answering patient phone calls, outgoing calls for scheduling and attaining patient/insurance information, determining co-pays and deductibles, submitting pre-authorizations, and following up on unpaid balances.
- Review any scrubbed and denied claims and resolve them in a timely manner
- Coordinate employee meetings and supervision as needed
- Act as a liaison between provider(s) and both staff and patients
- Ensure compliance with health and safety regulations
- Assist in the planning and execution of company events, including volunteer and community services.
- Perform other office tasks (replenish office supplies, distribute mail, take out trash, maintain a clean and orderly work space, etc.)
- Promote a positive work environment with respect and integrity
Schedule :
The Office Manager must be on site Monday through Friday from 8:30am until 4:00pm. Occasional Saturdays may be required once per month from 9:30am until 12:30pm to allow for greater access to care for patients. Company community service volunteer work may also require employee to work evening or weekend hours, as planned by the Office Manager in collaboration with the company owner (ex: preparation for food/clothing drives, mental health-related walks and runs).
Qualifications:
- Previous experience in administrative services and familiarity with billing and coding
- Flexibility and willingness to adapt to changes within a growing clinic
- Ability to prioritize and multi-task
- Strong organizational skills
- Deadline and detail-oriented
- Strong leadership qualities
Requirements:
- Completion of a High School Diploma or GED
- Associates degree preferred
- 2+ years experience working in mental health or a medical facility
Benefits :
Employees are granted two mental health/sick days following the 90-day probation period. Medical insurance is also available at this time. Paid time off is accrued at the start of employment to equate to approximately 8 paid days off. Additionally, employees enjoy 9 paid holidays. Employee is able to enroll in a 401k plan upon starting.
Pay is commensurate with experience and will increase as the clinic grows and expands to offer more services.
