The Assistant Project Coordinator supports the project manager at a commercial office furniture dealership and serves as a key link between the sales team, the client, and the installation crew. The primary focus of this role is to help ensure that commercial furniture is delivered and installed on time, within budget, and in full alignment with the specified design and floor plans.
Responsibilities- Coordinate project activities between the sales team, clients, designers, and installation crews to ensure smooth execution from order through installation.
- Support the project manager in delivering furniture projects on time, within budget, and according to approved architectural drawings and furniture layouts.
- Review and interpret architectural drawings, floor plans, and furniture "typical" layouts to confirm product specifications and installation requirements.
- Assist in preparing and maintaining bills of materials, project documentation, and installation schedules.
- Manage and track subcontractor activities, including bid management, scheduling, and performance follow-up.
- Use Microsoft Excel and other project management tools to perform accurate data entry, maintain project trackers, and update stakeholders on project status.
- Coordinate furniture layout and installation details with installers and job-site labor to ensure correct placement and adherence to design standards.
- Help manage expectations and communication between high-pressure clients and on-site installation teams.
- Collaborate with designers to align furniture solutions with client needs and architectural constraints.
- Support issue resolution during installation, including identifying discrepancies, communicating changes, and documenting any field adjustments.
- Maintain organized project files and records to support reporting, billing, and future reference.
- Contribute to continuous improvement of project coordination processes as the dealership grows and scales its operations.
- Ability to read and interpret architectural drawings, floor plans, and furniture "typical" layouts.
- Experience in project management and construction coordination, particularly in commercial environments.
- Experience with furniture layout and installation, ideally within systems furniture and commercial office settings.
- Strong attention to detail and ability to manage multiple tasks accurately and efficiently.
- Proficiency with Microsoft Excel, including data entry and basic spreadsheet management.
- General proficiency with Microsoft Office applications for communication and documentation.
- Subcontractor management experience, including coordinating schedules and overseeing bid management.
- Project coordination skills, with the ability to track timelines, deliverables, and stakeholder communications.
- Ability to communicate clearly and professionally with clients, designers, sales teams, and job-site labor.
- Capability to work with project management tools and dealer-specific software such as Hedberg or CORE.
- Understanding of systems furniture, including cubicles, architectural walls, and seating.
- Familiarity with blueprints and CAD-related concepts to support collaboration with designers and review of layouts.
- Comfort working in a fast-paced, high-pressure client environment while maintaining composure and professionalism.
- Interest in growing with a new, expanding commercial office furniture dealership and pursuing long-term career advancement.
- Ability to travel between office locations as needed to support projects and collaboration.
The role operates within a growing commercial office furniture dealership environment, working closely with a sales team and designers in both the field and the office. The position involves regular collaboration with leadership for direction and decision-making as part of a new and expanding business initiative. Work will primarily be based out of the Montgomery office, which is the current main setup, with the option to work in the Auburn area and travel between Auburn and Montgomery as project needs require. The environment is collaborative, fast-paced, and focused on delivering high-quality furniture solutions for commercial clients, using tools such as Microsoft Office, Excel, project management software, and dealer-specific systems like Hedberg or CORE.
Job Type & LocationThis is a Contract to Hire position based out of Montgomery, AL.
Pay and BenefitsThe pay range for this position is $24.04 - $36.05/hr.
