Job summary:
I-2-I Solutions, Inc. is seeking a detail-oriented and efficient Mail Clerk to support our mail outsourcing operations services. The Mail Clerk will be responsible for accurately sorting incoming mail, preparing outgoing mail, and ensuring that all mail is dispatched promptly and in compliance with postal regulations.This role plays a vital part in maintaining the integrity of our mailroom operations.

Key Responsibilities:
Sort incoming mail for distribution to the appropriate departments, individuals, or destinations. Open envelopes, either manually or using mail processing machines, while handling mail items with care to prevent damage.Stamp the date and time of receipt on incoming mail pieces to track their arrival.Categorize and sort mail based on destination and type, including returned letters, citizen mail, and other specified categories.Conduct research and take corrective actions to re-address mail with incomplete or incorrect address information to ensure proper delivery.Inspect outgoing mail for appearance and conformity, ensuring it meets established quality standards.Seal envelopes by hand or using automated machines to ensure secure mailing.Apply postage manually or with postage meters, accurately calculating and affixing the required postage to outgoing mail.Assist in the distribution and collection of mail within the organization as needed.Weigh mail items to determine the appropriate postage and ensure compliance with postal regulations.Maintain records of registered and certified mail, tracking their delivery and receipt.Adhere to established security and confidentiality procedures when handling sensitive or confidential mail.Report any discrepancies, mail irregularities, or equipment malfunctions to the Mailroom Supervisor promptly.Assist with periodic mailroom audits and inventory checks to ensure accuracy and completeness.
Qualifications:
- High school diploma or equivalent.
- Prior experience in mailroom operations or a similar role is preferred but not mandatory.
- Knowledge of basic mail processing procedures, including sorting, opening, and postage application.
- Ability to operate mail processing equipment such as envelope openers, postage meters, and sealing machines.
- Detail-oriented with strong organizational skills to accurately sort and categorize mail.
- Effective communication skills to interact with team members and other departments.
- Basic computer skills for data entry and tracking purposes.
- Strong time management skills to meet mailing deadlines and priorities.
- Ability to lift and move mail bins and packages, occasionally up to 50 pounds.
